Refund and Cancellation Policy
Albanian Eagle Tours
This policy governs cancellations and refunds related to travel services and packages sold by Albanian Eagle Tours.
1. Cancellation by the Client
All cancellations must be submitted in writing by email or other electronic channels used by Albanian Eagle Tours to communicate with clients.
The cancellation becomes effective on the date the written or verbal notification is received by Albanian Eagle Tours - later confirmed in writing.
Standard refunds are calculated according to the following schedule unless otherwise stated in the booking confirmation.
More than 30 days before the departure date
Refund of the amount paid minus administrative fees and non-refundable supplier costs.
30 to 15 days before departure
50% of the total booking amount may be retained by Albanian Eagle Tours.
14 to 8 days before departure
75% of the total booking amount may be retained.
7 days or less before departure
100% of the total booking amount may be retained.
These amounts reflect administrative costs, operational expenses and non-recoverable payments made to third-party suppliers.
2. Non-Refundable Services
Certain services may be non-refundable once confirmed. These include but are not limited to:
Airline tickets
Hotel reservations under promotional or early booking offers
Event tickets
Transport reservations
Special activity bookings
If these services are non-refundable according to the supplier’s terms, the corresponding amounts cannot be refunded by Albanian Eagle Tours.
3. Cancellation Due to Extraordinary Circumstances
If the trip cannot be performed due to extraordinary and unavoidable circumstances beyond the control of Albanian Eagle Tours, including but not limited to:
Natural disasters
Pandemics or public health emergencies
War or political instability
Government travel restrictions
Closure of borders
Transport strikes
Airline bankruptcy or suspension of operations
Albanian Eagle Tours will make reasonable efforts to offer:
An alternative travel arrangement
A travel credit voucher
Or a partial refund when possible.
Refunds in these cases will be limited to the amounts that Albanian Eagle Tours successfully recovers from suppliers.
4. Cancellation by Albanian Eagle Tours
Albanian Eagle Tours reserves the right to cancel a trip if:
The minimum number of participants is not reached
Operational conditions make the trip impossible
Safety conditions cannot be guaranteed (not in the case of Force Majeure)
In such cases clients will receive:
A full refund of the amount paid
Or an alternative travel option of equal or greater value.
No additional compensation will be owed.
5. Administrative Fees
All cancellations are subject to a non-refundable administrative processing fee covering:
Booking processing
Supplier communication
Payment processing
Operational costs.
This fee may range from 50 EUR to 350 EUR depending on the complexity of the booking.
6. Banking and Transaction Costs
Any bank transfer charges, card processing fees, currency conversion losses or other transaction costs incurred during payment or refund processing are non-refundable and may be deducted from the refund amount.
7. Unused Services
No refunds will be granted for services that were not used due to:
Late arrival
Early departure
Missed activities or tours
Failure to comply with the itinerary or schedule.
8. Refund Processing Time
Refunds will be processed within 7 to 30 business days after the cancellation is confirmed and after the necessary reimbursements are received from third-party suppliers.
9. Limitation of Liability and Claims
Albanian Eagle Tours acts as the organizer and coordinator of travel arrangements that may include services provided by independent third-party suppliers such as airlines, hotels, transport companies, guides, activity providers, restaurants, and other service providers.
While Albanian Eagle Tours undertakes reasonable efforts to select reliable partners and ensure the proper coordination of services, many elements of the travel experience are performed by independent providers who operate under their own operational rules, regulations, and contractual terms.
Accordingly, Albanian Eagle Tours shall not be liable for the acts, omissions, negligence, operational decisions, delays, cancellations, service interruptions, or other performance failures of third-party suppliers whose services form part of the travel package.
Where applicable, the rights of the traveler against such suppliers shall be governed by the contractual conditions and applicable international conventions regulating those services.
Without limiting the above, Albanian Eagle Tours shall not be responsible for losses, damages, inconveniences, or additional expenses arising from circumstances beyond its reasonable control, including but not limited to:
Transport delays or cancellations
Changes in airline schedules
Hotel overbooking or operational issues
Weather conditions
Natural disasters
Government actions or travel restrictions
Border closures or visa issues
Strikes or labor disputes
Epidemics or public health emergencies
Political instability
Failure of infrastructure or transportation systems
Bankruptcy or operational suspension of airlines, hotels, or transport providers.
In any event, the total financial liability of Albanian Eagle Tours for any claim arising from the performance or non-performance of a travel package shall not exceed the total amount paid by the client for the travel services in question, except where applicable law provides otherwise.
Indirect or consequential damages including loss of enjoyment, emotional distress, loss of business opportunity, or similar claims shall not be compensable.
Any complaint regarding the performance of travel services must be communicated immediately during the trip to allow Albanian Eagle Tours or its local representatives the opportunity to address the situation promptly. Failure to report the issue during the travel period may reduce or eliminate the possibility of compensation.
Formal written complaints must be submitted within 10 days after the completion of the travel services.
